Frequent email bounce back error and how you read them
Nowadays, email is one of the very common communication tools used among companies to liaise and corresponding on the business related matters, be it externally or internally.
However, user may encounter email failed to send out and receive bounce back notification.
Kindly refer to the below examples of bounce back email and how user can differentiate whether the issue could be residing Sender's side OR Recipient's side.
1. Message Size Violation
Based on the bounce back error, it shows that "Message Size Violation" which the email message size that Sender sent to Recipient side is too large, and the Recipient
email server rejects the email message.
Solution: Sender may resend with a reduced file size / split attachments into different email.
2. Email domain.com.sg is listed on https://spamurl.com/ or Message blocked
Email bounce back shows your email domain "xxxx.com.sg" is listed on https://spamrl.com/ which is the your email domain had been blocked or blacklisted by Recipient email server, therefore
all email is not able to reach to the Recipient's side.
Solution:
1. Sender can click on the link provided on the bounce back error, and enter your email domain to submit a request to remove the blacklist.
2. Sender can inform the Recipient via other alternative mean, and attach the bounce back error to get their IT Team to whitelist your email domain. Once your email domain
being whitelisted on their side, email shall able to go through on their side.
3. Mail box is full / Blocks limit exceeded / Inode limit exceeded
When email sent out, a bounce back email received saying that xxx@domain.com.sg mailbox is full. No worries, there is nothing wrong on your side as the Recipient's mailbox had hit the
maximum capacity, and no able to receive any more email.
Solution: Contact the Recipient side to inform their mailbox is full, get them to cleanup some old email to free up their mailbox space to be able to receive new emails.
4. Email account or domain may not exist
If Sender receive this bounce back email error showing the email account or domain may not exist and etc., it could be due typing error on Recipient's email address, or your email domain is blocked by the Recipient email server side.
Solutions: Checked if the Recipient email address is entered correctly. If it is correct, then user should contact the Recipient IT side to whitelist your email address on their email server.
