How to better manage your Outlook Emails?
Do you have a flooded Microsoft Outlook Inbox where u could no longer receive/ send out emails? Are you missing out on an important email message?
Day to day, a high influx of emails come through our inbox and we risk missing out on an important or urgent email message. As a
Sales Manager or
Business Owner, missing out on a critical message could mean potential loss of business.
To better organize Outlook's email, we can utilize the Outlook Tools by following adhering to the below following methods:
1. Arranging folders in Microsoft Outlook
- Categorize your emails by folders. Create them from Inbox's sub-level.
- Avoid creating too many layers of sub-folder to maintain email consistency and reduce chances of corrupted Outlook data. Besides, you can manage
and locate emails easily.
2. Archive or Delete old email message, avoid overused quota and messy inbox
- Archive: Archive your old emails and store them into offline Outlook file (PST format), while still able to read them. Besides reducing your mailbox usage,
archiving email also ensures Outlook data consistency.
- Delete: Send a message to the Deleted Items folder (works like a Recycle Bin). If the Deleted Items folder is emptied, it may be difficult to retrieve the
message. Delete is typically reserved for emails you don't expect to need in the future.
3. Flag an email to remind you to follow up
- Flag an email you wish to follow up or set a custom date / time and reminder to be alert. Then show flags and tasks from Inbox (from the View ribbon,
click To-Do Bar then select Tasks)
- You can track responses to messages by flagging email messages and also include a reminder alert.
4. Automate your Inbox with Mailbox Rules
- Create rules to manage / move the email automatically to respective folder. You can reduce manual and repetitive actions needed to manage your email
messages.
- Rules generally fall into one of two categories - organization or notification. You can use the Rules Wizard to help you design rules to manage your
messages as from the picture above.
